Revenue Operations Manager - Law Firm - Philadelphia - $130-150k  Hybrid  

*Qualified candidate must have current/prior law firm industry experience.

POSITION SUMMARY

The Revenue Operations Manager  is responsible for safeguarding firm revenue and optimizing financial performance across the entire billing lifecycle. This role drives accurate rate implementation, oversees e-billing compliance, manages client payment deductions and appeals, and proactively identifies and resolves root causes of revenue gaps.

Reporting to the Director of Revenue Operations, the Revenue Operations Manager serves as a key bridge between Pricing, Billing, Credit & Collections, and Billing Partners to ensure approved fee structures, alternative fee arrangements (AFAs), caps, and client guidelines are seamlessly operationalized and monitored.

KEY RESPONSIBILITIES

• Rate Implementation & Pricing Setup: Oversee the translation of approved rate structures, discounts, AFAs, and budget constraints into billing systems. Review post-matter intake setup to identify and resolve rate discrepancies before invoices are generated.

• E-Billing & Guideline Compliance: Direct invoice submission and management across client e-billing portals (e.g., Legal Tracker, Tymetrix, CounselLink). Enforce compliance with client-specific billing guidelines, monitor rejections, and drive prompt resubmissions.

• Deductions & Appeals Management: Own the end-to-end resolution process for client short-pays, write-downs, and disputed charges. Evaluate deduction validity, formulate recovery strategies, draft formal appeals with Billing Partners, and track recovery metrics.

• Revenue Analytics & Reporting: Track and quantify revenue loss stemming from e-billing rejections, non-compliant time entries, setup errors, and unbilled write-offs. Deliver actionable dashboards and reports to leadership highlighting trends and realization gaps.

• Process Improvement & Automation: Build standardized workflows, playbooks, and templates for rate verification, appeal handling, and e-billing exception management. Drive the adoption of modern process automation and firm-approved tools.

• Cross-Functional Collaboration: Partner closely with Pricing, Billing, Collections, and firm leadership to streamline operations, reduce administrative friction, and improve overall realization rates.

QUALIFICATIONS

Required:

• Experience: 5+ years of experience in legal billing, collections, pricing, or revenue cycle/operations management within a law firm setting (AmLaw 100 preferred).

• Technical Knowledge: Hands-on experience with major legal e-billing platforms (Legal Tracker, Tymetrix, CounselLink), law firm billing workflows, and matter intake processes.

• Core Skills: Demonstrated background managing billing disputes, short-pays, rate setups, and revenue leakage analysis.

• Communication: Strong communication skills with the ability to engage effectively with firm leadership, Billing Partners, and corporate legal operations teams.

Preferred:

• Proficiency with law firm financial ERP systems (e.g., Aderant, Elite, 3E) and data visualization tools.

• Experience with complex pricing models, including AFAs, blended rates, budgets, and fee caps.

• Proven track record of leading process improvement or operational optimization initiatives.
